ROLE PURPOSE

 

As the Executive Assistant, you will provide high-level administrative support to two senior executives, ensuring their operations run smoothly and efficiently. The role requires exceptional coordination, communication, and problem-solving skills with experience in managing scheduling, correspondence, and stakeholder coordination.

KEY ACCOUNTABILITIES

 

  • Executive Support & Diary Management: Manage complex and changing calendars, ensuring ELT members' time is optimised and protected. 
  • Stakeholder Engagement: Act as a key liaison between senior leaders, internal teams, and external partners. 
  • Administrative Excellence: Handle invoice processing, travel arrangements, corporate expenses 
  • Meeting & Event Coordination: Organise townhalls, leadership meetings, and workshops, ensuring logistics and follow-ups are managed efficiently. 
  • Reporting & Analysis: Support with functional reporting and scorecard data analysis to aid business decision-making. 
  • Confidentiality & Discretion: Manage sensitive matters with the utmost discretion, ensuring trust and professionalism at all times. 

WHAT WE LOOK FOR

 

  • 5+ years’ experience as an Executive Assistant at a senior management level in a medium to large corporation. 
  • Proven ability to manage executive-level relationships, acting as a trusted business partner. 
  • Strong diary and time management skills, adept at handling dynamic and evolving priorities. 
  • Exceptional verbal and written communication skills, with the ability to engage effectively across all levels. 
  • Meticulous attention to detail, ensuring accuracy across all aspects of the role.  
  • Proactive and positive attitude, willingness to support the wider team. 
  • Assertive yet approachable, able to protect executive time while maintaining strong relationships. 
  • Highly organised, capable of managing a fast-paced, changing office environment. 
  • Advanced proficiency in Microsoft Office Suite, ensuring efficiency in reporting, scheduling, and correspondence. 
  • Demonstrated ability to maintain strict confidentiality and discretion, handling sensitive matters with professionalism.
